Terms and Conditions
Please read the following terms and conditions carefully before booking any trek or tour with Evertrek Nepal Pvt. Ltd. By confirming a booking, you agree to be bound by the policies outlined below. These terms are designed to ensure clarity, fairness, and the safety of all parties involved.
1. Booking and Confirmation
A trip is considered confirmed only after Evertrek Nepal receives a completed booking form, the required deposit payment, and issues written confirmation. Verbal agreements or online enquiries do not constitute a confirmed booking.
Quoted pricing applies solely to the services listed on the confirmed invoice or itinerary. Prices are subject to change until a deposit is received. Guest names, passport details, and departure information must be provided accurately as they are required for permit processing — errors may incur additional charges.
2. Deposit and Payment
A deposit of 30% of the total package cost is required to confirm your booking. The remaining balance must be paid in full no later than 30 days before the trip departure date. For bookings made within 30 days of departure, full payment is required at the time of booking.
Online Payment (Credit / Debit Card)
International card payments are accepted through our secure online payment gateway. Please contact our team for the payment link. All card transactions are processed securely.
Bank Transfer (SWIFT / Wire)

Note: Any bank service charges incurred during the transfer are the responsibility of the client.
Payment via Western Union / Money Gram
Payments via Western Union or MoneyGram are accepted. Please contact us in advance for recipient details. Keep the transaction receipt and send a copy to our team for verification.
3. Cancellation Policy
Cancellation by the Client
If you need to cancel your trip, written notice must be sent to Evertrek Nepal by email. The cancellation date is the date on which written notice is received. The following cancellation charges apply as a percentage of the total package cost:

If you withdraw from a trip after it has commenced — for any reason — no refund will be issued for unused services including accommodation, meals, transport, or guide fees. Clients are strongly advised to obtain comprehensive travel insurance that covers trip cancellation and curtailment.
Cancellation by Evertrek Nepal
Evertrek Nepal reserves the right to cancel any trip due to circumstances beyond our control — including natural disasters, political instability, strikes, severe weather conditions, government advisories, or insufficient group size. In such cases, clients will receive a full refund of all payments made to Evertrek Nepal, excluding non-recoverable third-party costs (e.g. airline tickets, insurance).
We reserve the right to modify routes, itineraries, or accommodation where safety, trail conditions, or logistics make it necessary. Every effort will be made to provide alternatives of equivalent standard.
4. Changes and Rescheduling
Requests to change departure dates, destinations, or services must be made in writing and are subject to availability. Changes requested less than 30 days before departure may incur an amendment fee and are subject to supplier availability. Evertrek Nepal will make every reasonable effort to accommodate changes but cannot guarantee availability.
5. Travel Insurance
All clients are strongly required to hold comprehensive travel insurance before departure. Your policy must cover, at a minimum:
- Medical expenses including hospitalisation and treatment at altitude
- Emergency helicopter evacuation from high-altitude locations
- Trip cancellation and curtailment
- Loss of personal belongings and equipment
- Personal liability
Evertrek Nepal does not provide personal insurance. The package price does not include any insurance cover. Clients without valid insurance may be refused participation at the point of departure.
6. Traveller Responsibilities
Clients are responsible for disclosing any relevant medical conditions, physical limitations, or dietary requirements before confirmation. Evertrek Nepal uses this information to plan appropriate support and cannot be held liable for issues arising from undisclosed conditions.
All travellers must hold a valid passport with at least 6 months validity beyond the trip return date, the appropriate Nepal visa, and any permits or documentation required for their nationality. Obtaining the correct travel documents is entirely the client's responsibility.
7. Flight Delays and Route Changes
Domestic flights in Nepal — particularly to mountain airstrips such as Lukla — are subject to delays and cancellations due to weather. Evertrek Nepal will cover reasonable accommodation and meals in the event of an outbound domestic flight delay directly affecting your itinerary. Costs arising from delayed international flights or return domestic flights remain the client's responsibility.
In the event of a route change due to unforeseen conditions, Evertrek Nepal will propose an alternative of equivalent or greater value wherever possible. No refund is issued for route modifications required for safety or operational reasons.
8. Liability
Evertrek Nepal acts as an organiser and facilitator of trekking experiences. While every precaution is taken to ensure client safety, trekking in the Himalayas carries inherent risks including altitude sickness, adverse weather, and challenging terrain. By booking with us, clients acknowledge these risks and accept personal responsibility for their participation.
Evertrek Nepal will not be liable for any injury, loss, damage, additional expense, or delay caused by events outside our control, including force majeure events, the negligence of third-party suppliers, or the client's failure to follow guide instructions.
9. Governing Law
These terms and conditions are governed by the laws of Nepal. Any disputes arising from a booking with Evertrek Nepal shall be subject to the exclusive jurisdiction of the courts of Kathmandu, Nepal.
